ABHC415 - Receptionist/Typist


Responsible for all legal reception duties and typing, you will be the first point of contact with the general public either face to face or over the telephone. You should always have a welcoming, professional manner and approach, be well presented and work to the highest standard and have excellent communication skills written and spoken. It is essential for this role that you have Receptionist experience in a Legal environment.

Main duties of the role:

• Welcome all that call into reception and log in the appropriate book

• Notify the relevant person of the clients’ arrival without delay. Ensure the client is put at ease remembering at all times the client may be apprehensive and under stress

• The control of all incoming and outgoing telephone calls

• Handle all telephone enquiries, log and relay the same to appropriate partner, fee earner or support staff

• Seek to answer calls within 3 rings. Liaise with oncoming switchboard operators, to ensure a smooth transition and continuous coverage

• Ensure that you have a full and comprehensive knowledge as to the whereabouts of all staff

• Prepare, frank and dispatch outgoing mail, accept any incoming mail or parcels

• To locate archived files and delete files for archiving as required

• To control the stationery account for the office, to include placing and receive orders for stationery and other office consumables, as required and monitoring stock levels

• Carry out typing, photocopying and other tasks requested by sections within the office as required

• Daily collection and delivery of the DX post

• Updating loose leaf library publications and Legal books as required

• Keeping reception tidy at all times

• The preparation and despatch of Will packs, including the despatch of Wills to another office.

• Control of petty cash and postage monies

• Logging all cheques received in the office and the preparation and paying in of banking

• Obtaining supplies for staff refreshments

• The arranging of refreshments, if required, for clients and other visitors

• To be familiar with the office manual as updated

The working hours are Monday to Friday 8.30am to 5pm. The salary for this role is based on experience.
